1. Who we are

SiteLedger provides construction project and cost management software. This policy explains what personal data we process when you create an account and use the service.

2. Data we collect

  • Account data: name, email address, and authentication identifiers.
  • Company data: company name, team members and their roles.
  • Project content you enter: client details, site addresses, costs, variations, diary entries, labour and plant records, waste records, documents and photographs.
  • Billing data: subscription plan, billing period and payment status. Card details are handled by our payment processor and are never stored by us.
  • Technical data: log data and basic usage information needed to operate and secure the service.

3. How we use your data

We use your data to provide the service, authenticate users, process subscriptions, keep the service secure, provide support and meet legal obligations. We do not sell your data and we do not use your project content for advertising.

4. Legal bases

We rely on performance of a contract (providing the service you subscribe to), legitimate interests (security, service improvement and support), and legal obligation (accounting and tax records).

5. Storage and security

Data is stored on managed cloud infrastructure with encryption in transit. Access to your company's records is restricted at database level so that only members of your company workspace can read them, and financial data can be further restricted by role.

6. Retention

We keep your data for as long as your account is active. If you delete your account, project content belonging to your workspace is removed, other than records we are required to retain for legal or accounting purposes.

7. Your rights

You may request access to, correction of, export of, or deletion of your personal data, and you may object to or restrict certain processing. You can delete your account and data at any time from within the app, or by using our account deletion page.
